AI is transforming how businesses plan, operate, and make decisions. But the gap between AI as a toy and AI as a business tool comes down to prompt quality. Generic prompts produce generic advice that could apply to any company. Business-specific prompts produce analysis and recommendations tailored to your situation, your constraints, and your goals. This guide provides templates for the business tasks where AI delivers the most value, from strategic planning to operations to financial analysis.

Strategic Planning Prompts

Strategic planning prompts need your business context: industry, company size, current position, competitive landscape, resources, and goals. Without this context, you get McKinsey-style generic frameworks that sound impressive but do not apply to your specific situation.

Template: You are a strategic consultant advising a [company size] [industry] company. We currently [current situation]. Our main competitors are [competitors]. Our resources include [resources and constraints]. Our goal for the next [time horizon] is [goal]. Develop a strategic plan that includes: market positioning strategy, top three strategic priorities, resource allocation recommendations, key risks and mitigation strategies, and measurable milestones.

Ask for trade-off analysis explicitly. Every strategy involves trade-offs, and the best strategic advice makes those trade-offs visible so you can make informed decisions rather than committing blindly.

Financial Analysis Prompts

Financial analysis prompts should include the actual numbers and specify what analysis you need. The AI cannot analyze data it does not have, and requesting analysis of data you will provide later produces generic frameworks instead of actual analysis.

Template: Analyze the following financial data for [company/project]: [data]. Calculate and interpret: [specific metrics like gross margin, burn rate, LTV/CAC, runway]. Compare against industry benchmarks for [industry]. Identify the three most concerning trends and three most positive indicators. Recommend specific actions for each concern.

For financial modeling, provide the assumptions clearly and ask the AI to build scenarios. Best case, expected case, and worst case with probability-weighted outcomes gives you a range rather than a single point estimate.

Operations and Process Prompts

Operations prompts benefit from describing the current process in detail before asking for improvements. The AI needs to understand what you are doing now before it can suggest what you should do differently.

Template: Here is our current process for [process]: [step-by-step description]. The main pain points are [pain points]. The constraints are [constraints: budget, team size, technology]. Suggest improvements that address the pain points while respecting the constraints. For each suggestion, estimate the implementation effort, expected impact, and timeline.

For workflow automation, describe the repetitive tasks and ask the AI to identify which ones are candidates for automation, what tools could automate them, and what the ROI of automation would be. This turns vague automation goals into a prioritized implementation plan.

Decision-Making Prompts

AI is an excellent thinking partner for complex decisions. The key is presenting the decision context completely: what are the options, what criteria matter, what constraints exist, and what information is uncertain.

Template: I need to make a decision about [decision]. The options are: [options]. The criteria that matter most are: [criteria ranked by importance]. The constraints are: [constraints]. The uncertainties are: [what I do not know]. Analyze each option against the criteria, highlight the trade-offs, and recommend the best option with your reasoning. Also identify what additional information would change your recommendation.

Ask for the strongest argument against the recommended option. This prevents confirmation bias and ensures you have considered the downsides before committing to a decision.

Hiring and Team Prompts

AI helps with job descriptions, interview questions, organizational planning, and team structure analysis. For each, provide the specific context about your company culture, the role requirements, and the team dynamics.

Template: Write a job description for a [role] at a [company description]. The role reports to [manager role] and works with [team structure]. Key responsibilities: [list]. Required skills: [list]. Our culture values [values]. Salary range: [range]. Write in a tone that attracts [candidate profile] while being honest about the challenges of the role.

For interview questions, specify what competencies you are evaluating and ask for behavioral questions that reveal those competencies. Include follow-up probes for each question so interviewers can dig deeper when needed.
